If you take hazardous waste in, you have to send the Environment Agency a return every quarter saying what you received and who it came from, and send each producer their own copy.
LoadSnap builds both from the loads you have already recorded, so the quarter is a few clicks rather than a fortnight of spreadsheet work.
How to do it
In the sidebar, under Reporting, click Consignee Returns.
Click Start a return, at the top right.
Under Which quarter, pick the quarter you are returning. The quarter you are in now is not offered: a return covers a whole quarter, so it can only be built once that quarter has ended. The list starts at the quarter you opened your account, or the quarter of the first hazardous load you took in if that was earlier.
Under Which sites, tick the sites this return covers. Leave them all unticked for one return covering every site.
Click Generate. The new return appears in the list with its due date and how many consignments it covers.
Open the return. Check the consignments and the total weight look right against what you know went over the weighbridge, and put right the Single or Multiple type on any row that is wrong.
Click EA Return (CSV) and upload that through the Environment Agency's waste tracking service.
Click Producer Returns (CSV) and use it to send each producer a summary of what happened to their waste.
Move the return along the strip at the top as you go: Mark In Review, then EA Submitted, then Producer Returns Sent, then Complete. That strip is how anyone else in the office knows where the quarter got to.
Worth knowing
The return has to be with the Environment Agency one month after the quarter ends. A quarter reads overdue against that date once it has gone past, and the Overdue tile counts them. That is the one to do first. A quarter inside its filing month tells you how many days are left.
The return is only as good as the loads underneath it. Clear anything unfinished before you generate, or you will be doing it twice.
If a return is wrong, use Delete draft on the row, fix the loads it came from, and generate it again. That option only exists while the return is still at Generated, so a return you have already submitted cannot be quietly binned.
This is a separate job from your DEFRA digital waste tracking submissions. The consignee return goes to the Environment Agency quarterly and covers hazardous waste only. DEFRA filing is per load, within two working days.
