How to create a job

Booking a piece of work in, from the customer and the address through to the waste, the date and the price.

A job is one piece of booked work. Dropping a skip at a customer's site, collecting a full one, or swapping one for another. Creating a job puts the customer, the address, the waste and the date in one place, so the office can plan the day and the driver knows exactly what they are going to when they arrive.

Carriers use this whenever a customer rings up and books work in advance. A load that was never booked does not need a job. Your driver can send that in from their phone as an ad hoc collection.

How to do it

  1. In the sidebar, under Operations, click Jobs.

  2. Click Create job, at the top right.

  3. Say how the job came to you. There are four cards: a customer rang us, from an enquiry, a broker gave it to us, or from a quote they accepted. Each route asks for what that route actually knows, and they all land on the same job, so nothing is locked in by choosing. The steps below are the usual one, a customer ringing up.

  4. Under Customer & waste producer, pick the Producer. If the waste is coming off one of their other yards or sites, pick that too. The producer is the business whose waste it is, and the one responsible in law for describing it properly.

  5. Under Collection, choose the kind of visit: Collection only, Drop-off & collection, Wait while load, or Swap.

  6. Set the date. A drop-off and collection asks for the day the container goes out as well as the day it comes back. Tick Set a specific time or duration only if the customer has been promised a slot, rather than just a day.

  7. Under Receiving Site, choose where the load is going to be tipped.

  8. Under Expected Waste, say what you expect to collect and roughly how much. These are estimates for planning, and they are what your driver sees when they open the job. The real weight comes off the weighbridge at the receiving site.

  9. Fill in whatever else matters on this one: Compliance if a broker or dealer is involved, Crew if you already know the vehicle, Notes for Driver for gate codes and access, Pricing & invoicing for the charge, and Driver Requirements if you want to change whether the driver has to take photos, or whether they need the customer's signature.

  10. Click Create job. If you are still waiting on something, click Save draft instead and come back to it.

Worth knowing

  • Turning off the signature in Driver Requirements turns off the customer's, for unattended collections where nobody is there to sign. It does not turn off the driver's own. That one is a legal requirement on every load and cannot be switched off.

  • Anything marked with a star has to be filled in before Create job will work: the producer, the collection date, the waste and the receiving site. Save draft is always available.

  • The summary down the right hand side keeps a running list of what is still missing, so you can see at a glance why Create job is not available yet.

  • A job with no date on it is not on the calendar at all. It sits in the unscheduled list, ready to be planned. A job that was not collected by the end of its day comes off the vehicle and goes back to that list too, so it gets rebooked rather than quietly passing.

  • Work is given to a vehicle rather than to a driver, because the vehicle is what limits the job. A skip wagon, a ro-ro and a loose tipper each carry different things. You then put drivers on vehicles under Assignment.

  • Leave the vehicle blank and the job goes into the Schedule's Unassigned lane, ready to drag onto a wagon later. Putting a job on a vehicle places it on that lane, it does not book the slot, so overlaps are not blocked.

  • If the work came in as an enquiry or a quote, raise the job from there instead and the customer, address and waste come across with it.
