Documents is where the paperwork your work produces is stored: waste transfer notes, consignment notes and receipts. Carriers and receivers both have it.
Most of it is made for you. When a collection is signed off, its transfer note exists without anybody filling a form in.
Two ways to find a note
If you know roughly when it was, go to Documents in the sidebar and search there.
If what you actually want is "all the notes for this customer", go through the customer instead:
In the sidebar, under People and Places, click Producers.
Open the customer.
Their collections are listed down the record, with View all records at the bottom if there are more than fit.
Open the collection you want. The waste transfer note is on it, ready to download or send. If the load was hazardous it is a consignment note instead.
That second route is the one to use when a customer rings up asking for their paperwork, or when somebody is auditing one site rather than one week.
How long they are kept
Two different things here, and it is worth keeping them apart.
What the law asks of you. Two years for a waste transfer note, three for a hazardous consignment note, and five if you are the permitted site that received the waste. Each document in LoadSnap carries its own retention date so you can see when it stops mattering.
What LoadSnap does. While your plan is running we keep everything, however many years that runs to. Nothing is quietly dropped as it ages. If your plan ends you get 90 days to download the lot before the records come off, because keeping the notes for the statutory period is your business's duty rather than your software's.
