Three different documents cover three different situations, and picking the wrong one is a duty of care problem rather than an administrative one. Here is which is which, and how each comes out of LoadSnap.
The waste transfer note
The document that travels with a load of non-hazardous waste. Who produced it, what it is, how much, who moved it, where it went, and everybody's registrations. One per movement, kept for two years.
LoadSnap produces it as a proper PDF from the record you already made, including Welsh language notes where you need them. You do not fill one in.
The hazardous waste consignment note
A different document for hazardous waste, and not an optional upgrade of the transfer note. LoadSnap runs the full workflow: the hazardous property codes, persistent organic pollutants, the consignment numbering, and the three labelled copies that have to travel and be kept.
If a load is hazardous, LoadSnap knows from the waste code and puts you on this path rather than the transfer note one.
The season ticket
One note covering repeated identical transfers for up to twelve months, so a weekly identical round is not a fresh note every visit. The rules about what qualifies are enforced by LoadSnap rather than left for you to judge, because a season ticket used on loads that are not genuinely identical is worse than no season ticket at all.
Putting your own fields on a note
You can add the fields your operation actually asks for, such as skip size, material type, physical form or a site reference, as text, numbers, dates, tick boxes or dropdowns, and choose which of them print on the note.
If you have been given a paper one
Photograph an existing paper transfer note or a weighbridge docket and the details are read off it and filed. You do not have to type somebody else's paperwork back in.
Consignee returns
The quarterly return a site makes on the hazardous waste it has received. LoadSnap builds it from the records you already hold rather than asking for the same information again.
How long to keep them
Transfer notes for two years, hazardous consignment notes for three. LoadSnap keeps every document searchable for the retention period, so an audit is a search rather than a filing cabinet.
