By default, the invoices and notifications LoadSnap sends your customers come from our address. You can have them come from yours instead, so a customer opening an invoice sees your company rather than ours. This is on the Pro plan and above, alongside the rest of your branding.
It takes three records added to your company domain. If somebody else looks after your website or your domain, this is a job for them, and it is a five minute one.
What you need
Your own company domain, the one your website and email are on. You cannot send from a Gmail, Outlook or BT address, because the set-up needs records added to the domain itself.
Access to wherever that domain is managed, or the person who has it.
Start in LoadSnap
Go to Settings and then Branding.
Find "Emails from your own address".
Type the address you want to send from. Something like [email protected] or [email protected] works well. Avoid no-reply, because mail from a no-reply address is more likely to be filtered, and a customer who replies to their invoice gets a bounce.
Click Set up. LoadSnap then shows you the records to add.
Leave that page open. You will come back to it to press Check.
The records you will be adding
There are four. Three prove the mail really is from you, and the fourth tells other mail servers what to do with anything pretending to be you.
A DKIM key, which is a TXT record
Two SPF records, one MX and one TXT
A DMARC policy, which is a TXT record
Copy the values from the LoadSnap page rather than from anywhere else. They are yours and nobody else's, and the DKIM one in particular is a long line that has to go in exactly.
This does not touch the email you already use. The records sit on their own names, so your existing Outlook, Google or Microsoft 365 email carries on exactly as it is.
The names are written the short way. LoadSnap shows a name like "send" rather than "send.yourcompany.co.uk". Most systems want it that way and add your domain for you. If yours asks for the whole thing, it is the name, then a dot, then your domain. Putting the full name into a system that also adds your domain is the single most common mistake, and it gives you something like send.yourcompany.co.uk.yourcompany.co.uk, which will not work.
Adding them in GoDaddy
Sign in to GoDaddy and go to My Products.
Find your domain and open its DNS settings. Depending on what you see, that is Manage DNS, or DNS, or the three dots next to the domain and then Edit DNS.
Click Add New Record.
Choose the type, TXT or MX, to match the record you are copying.
Put the name in the Name box and the value in the Value box. GoDaddy adds your domain to the name for you, so type it the short way.
For the MX record there is also a Priority box. Put in the number LoadSnap shows, which is 10.
Leave TTL as it is, then Save.
Repeat until all four are in.
Adding them in Cloudflare
Sign in to Cloudflare and click your domain.
In the menu, go to DNS and then Records.
Click Add record.
Choose the type, TXT or MX, to match the record you are copying.
Put the name in the Name box and the value in the Content box. Cloudflare adds your domain to the name for you, so type it the short way.
For the MX record there is also a Priority box. Put in the number LoadSnap shows, which is 10.
Leave Proxy status and TTL alone. The orange cloud does not apply to these kinds of record.
Click Save, and repeat until all four are in.
If your domain is somewhere else, the words differ but the job is the same: find the DNS or advanced DNS settings, add a record, pick the type, paste the name and the value. 123 Reg, Namecheap, Squarespace, Wix and IONOS all have one. If you cannot find it, send the records to whoever built your website.
These screens change. GoDaddy and Cloudflare both move things around and rename buttons from time to time, so what you see may not match word for word. The four records are what matters, and they go in the same way whatever the buttons are called.
Back in LoadSnap
Once the records are in, go back to Settings and then Branding and press Check. LoadSnap asks our email provider to look at your domain and tells you what it found.
Most domains are ready within a few minutes. Some take a few hours. There is nothing to do while you wait, and pressing Check again later costs nothing.
Until it verifies, your invoices and notifications keep going out from LoadSnap's address exactly as before. Nothing breaks while you are half way through.
What changes once it verifies
Everything your customers receive starts coming from your address: invoices, quotes, contracts, payment reminders and producer portal invites. Replies go to you rather than to us.
Emails we send you about your own LoadSnap account, such as billing and password resets, still come from LoadSnap. Those are from us, and they should look like it.
If it will not verify
Check the name has not ended up with your domain in it twice.
Check the type is right. A DKIM key is a TXT record, not a CNAME.
Check the whole value went in. The DKIM value is long and is easy to cut short when copying by hand. Use the copy button on the LoadSnap page.
Give it a few hours. Some domains are slow to pass changes on, and there is nothing either of us can do to hurry that.
If it still will not go, message us with your domain name and we will look at what your domain is actually answering with.
