How Team works in LoadSnap

Team is one row per person: office staff, drivers and weighbridge staff together, with what each of them can get into. What it is, why one page replaced three, and how to add somebody.

Team is where you manage the people who work for you and what each of them can get into. Used by carriers and receivers.

What it is

One row per human being. Office staff, drivers and weighbridge staff are all on the same page, with chips against each name saying what they can get into. The columns are Person, Email, Access, Vehicle, Licence or CPC and Status.

Tabs across the top narrow it down to All, Office, Drivers, Weighbridge or Invited. You only see the tabs that apply to your business, so a receiving site with no wagons is not offered Drivers.

Why it's there

Different people need different access. The office needs the full product on a computer, drivers need the app in the cab, weighbridge staff need the gate. Keeping them in one place makes that tidy, and it stops the same person existing twice.

Drivers and Operatives used to be separate pages, which meant somebody who drove and also covered the weighbridge was two records with two spellings of their name. Those pages now forward here.

How it works

Click Add someone. Put in their name and email, then switch on what they can get into. You are only offered the switches your own business does, so a carrier with no weighbridge sees the first two of these, and you can turn on any combination:

  • Office login signs them in on a computer to run jobs, records and invoices. Choose Member for the day-to-day work, or Admin for settings, billing and people too. Only an owner or an admin can hand this one out.

  • Drives for us opens the driver app on their phone for jobs, checks and signatures.

  • Works the weighbridge takes waste in on site. They pick the site they are standing at.

Leave the invite ticked and LoadSnap emails them a link to set their own password, one email per way in. If the address already belongs to somebody on your team, LoadSnap says so as you type and adds the access to them instead of making a second record.

Their record

Click any row to open the person. Their driving and their weighbridge work sit under their own tabs, so their licence, their vehicle, their receipts and their invite are all in one place. Somebody who only works at a desk has nothing of their own here, because the jobs, records and invoices they work on belong to the whole business.

The same switches are on their record, so you can take one way in away and leave the rest. Switching driving off does not touch anything they have already done.

Suspending somebody

Tick them on Team and click Suspend. That takes away every way in at once. Bring back does the opposite. Nobody is deleted, because their name is on records you have to keep.

Leave and absence

Leave & absence, the button at the top of Team, is the board of who is off and when. Somebody booked off shows an "Away until" chip against their name and is kept off the schedule for those days.

Office logins in Settings

Settings, then Office logins is the desk side on its own: how many seats are in use, the invitations you have sent, and a join link for when you do not have everyone's email address. Anyone who uses that link shows under Requests to join for you to approve. Drivers have their own separate allowance, so adding a driver never uses up a seat.
