Everybody who works for you goes on the same page, whether they sit at a desk, drive a wagon or work the weighbridge. What tells them apart is which switches you turn on when you add them.
An office login is the switch that opens the full LoadSnap on a computer: jobs, invoices, compliance, the lot.
How to do it
In the sidebar, under People & Places, click Team.
Click Add someone.
Put in their full name and their email address. The invite goes to that address, and it is what they sign in with.
Under "What they can get into", switch on "Office login".
Choose what they can do: "Member" for the day-to-day work, or "Admin" for settings, billing and people too.
Switch on "Drives for us" or "Works the weighbridge" as well if they do that too. You are only offered the ones your own business does. Somebody in the office who covers a wagon on a Friday is one person with two switches on, not two records.
Leave "Email them their invite now" ticked and click Add. They set their own password from that email.
Worth knowing
Only an owner or an admin can hand out an office login. For anybody else the switch is not there.
The Owner is the person the account belongs to. Admins can do more or less everything else. A Member does not see the company-wide parts of Settings at all.
Office logins and drivers are counted separately, so adding a driver never uses up an office login, and weighbridge access uses up neither. Some plans put a number on office logins and some do not. Either way the form tells you where you stand as you switch things on, and stops you before you go over rather than after.
If the email address already belongs to somebody on your team, LoadSnap says so while you are still typing and adds the access to them, rather than making a second record for the same person.
Settings, then Office logins is where the desk side is managed: how many seats are in use, the invitations you have sent, and a join link. If you do not have everyone's email address, share that link. Anyone who uses it shows under Requests to join for you to approve, so nobody gets in without you saying so.
On a pending invitation you can send a fresh link, copy the link to send yourself, or cancel it. Cancelling kills a link that went to the wrong address. Do that rather than hoping nobody clicks it.
To take one way in away and leave the rest, open their record on Team and switch it off there. Suspend is the one that takes away everything at once.
When somebody leaves, tick them on Team and click Suspend on their last day. It takes away every way in at once, and it is the tidiest way to make sure nothing goes out under their name.
