Collections is where every load your drivers have actually carried lands, and where the ones still waiting on the office get signed off. Used by carriers.
What it is
One list of the loads that have happened, with the ones needing attention pulled out at the top. The tabs across the middle are All, Completed, Draft, Needs sign-off, Signed off, Submitted and Archived, and the cards above them count what came in over the last thirty days, what is finished, what is still a draft and what is waiting for review.
This used to be a separate screen of its own. It is the same idea in the place the rest of the work lives: a load waiting on you now shows as Needs sign-off on the Collections list rather than in a queue somewhere else.
Why it's there
Capture in the field should be quick and forgiving, but nothing should leave the yard as a record without a check. This is that middle step: the driver captures, the office reviews, then it is signed off.
How a load gets here
Several routes, all ending in the same place. A driver opens the app, picks the job and photographs the load, and the AI reads the waste from the photo. They can log an unbooked collection the same way for extra waste found on site or a one-off. You can log one yourself with "Log a collection". You can also forward paperwork to your LoadSnap submission email address, which is matched back to whoever sent it.
Signing one off
A load that needs the office shows as Needs sign-off. Open it, look at the photo and what the AI made of it, fill in anything missing such as the customer, the site, the destination and the weight, and sign it off. The note is produced from that record.
A collection is work done, not a job
A collection is work that has already happened, so it does not become a job. A job is a plan for work still to come. That is why a driver's ad hoc load arrives here rather than on the schedule.
What gets filed
Signing off is not the same as filing to DEFRA. Only a receipt at a permitted site is filed, so a carrier who tips at somebody else's site signs the collection off and produces the transfer note, and the site files it. If you receive on your own site as well, the receipt half is what goes to DEFRA.
