Your drivers get LoadSnap on their phone. No app store and nothing to install: they open a link in an email, choose a password, and add LoadSnap to their home screen so it opens like a normal app.
You add them in the office from Team, and LoadSnap emails them the invite. Five minutes for the first one and about one minute for the rest.
How to do it
In the sidebar, under People & Places, click Team. Everybody who works for you is on this one page, drivers included.
Click Add someone.
Put in their full name and their email address. The email is the one thing you cannot leave out: it is where the invite goes and it is what they sign in with, so it has to be theirs alone.
Add their mobile and a job title if you have them. Both optional.
Under "What they can get into", switch on "Drives for us". That is the switch that gives them the driver app.
A Driver details section opens underneath. Set their home yard if they start from the same place most days, and fill in their role, address and emergency contact while you have their details in front of you. All optional.
Leave "Email them their invite now" ticked and click Add. LoadSnap emails them a link to set a password.
If the email has not arrived, click Copy invite link on the page that follows and send it to them yourself on WhatsApp or in a text. You can do the same later from their record on Team. Copying makes a fresh link and retires the last one, so only the newest link works.
What the driver does
They open the link on their phone. It lands on "choose a password" with their name already on it.
They pick a password and they are in. That is the password they use from then on, so it is worth them saving it.
The app asks to use their location and to send them notifications, then takes a few details such as their licence. They can leave that part until later.
They add LoadSnap to their home screen when the phone offers, so it opens like a normal app.
On the home screen there is a "Vehicle check due" banner. They tap Start, walk round the wagon, and they are checked in.
Worth knowing
There is one sign-in for everybody, at the same address the office uses. Somebody who drives and also works your weighbridge signs in once and picks where they are going. On a phone the office is never offered, because jobs, records and invoices are a desk job.
Checking in matters more than it looks. It is what puts the right vehicle on every fuel log, expense, breakdown and defect for the rest of the shift, so the driver never types a registration.
If a driver forgets their password, "Forgot your password" on the sign-in screen emails a fresh link to the address on their record. They do not have to ring the office.
If a driver is on more than one wagon, LoadSnap asks which one at check-in. They cannot swap it themselves afterwards, apart from when LoadSnap tells them their wagon cannot carry the job in front of them, so a mid-shift change goes through Assignment in the office.
Add the vehicles first, then the people, then put drivers on vehicles under Assignment. Jobs follow the vehicle, so a driver on no vehicle opens the app to an empty day.
If you drive as well as run the office, add yourself on the same form using the email address you already sign in with. LoadSnap spots that you are already on the team and adds driving to you, rather than making a second record and a second password.
